The content calendar framework
A simple weekly + monthly structure that prevents gaps and makes it trivial to onboard anyone onto your content ops.
The point of a content calendar is not to plan every post in advance — you'll never stick to it. The point is to give yourself a repeatable structure so you spend zero willpower on "what should I post today."
The two-layer calendar
Layer 1: The weekly template (fixed)
Every week has the same shape. You know on Monday what kind of post is going out on Thursday, not the exact post. Example for a local business posting 3× weekly on one platform:
- Monday: educational / useful tip
- Wednesday: behind the scenes / team / process
- Friday: social proof or offer (alternating weekly)
This template is written down and never changes. It's the skeleton.
Layer 2: The monthly theme (variable)
Each month gets a loose theme that flavors the content but doesn't constrain it. "August: back-to-school" or "March: spring refresh" or "Q2: trust building." Writers know the weekly shape AND the monthly flavor, which gives them enough structure to produce without needing approvals for every post.
The rolling 30-day view
On the first of every month:
- Review last month's results (which posts outperformed, which underperformed)
- Set this month's theme in one sentence
- Sketch post topics (not copy — topics) for the month on a single page
- Schedule the first two weeks. Leave the second two weeks flexible so you can react to what's working.
Tools

Capacity planning
Most teams fail at calendars because they over-commit. Be brutally honest about how many posts you can produce. Three good posts per week beats seven mediocre ones every time. Cut the cadence first if things slip; never lower quality.
